The Middlesex Sheriff’s Office (“MSO”) is seeking a qualified professional to work as an Administrative Assistant (“Assistant”) in the Program Services Department at the Middlesex Jail and House of Correction in Billerica, MA. Under the general direction of the Assistant Deputy Superintendent II or designee, the Assistant is responsible for organizational and clerical duties and performing all necessary administrative duties for the Program Services Department. The work schedule for this position is Monday through Friday with an eight (8) hour flex shift between the hours 8:00a.m. to 6:00p.m. The hours and days off are subject to change at the discretion of Management and the needs of the Program Services Department. This is a full-time, non-exempt position covered under a collective bargaining agreement (NEPBA, Local 525).

Additional duties and responsibilities of the Assistant include, but are not limited, to :

 
  • Answering phone calls and forwarding them to the appropriate individuals; provide backup at front reception desk phones when needed;
  • Performs administrative assistant duties when needed for the Assistant Deputy Superintendent II including, but not limited to, typing, word processing, filing, interoffice correspondence, organizing and maintaining files; working with other MSO departments and processing budget and purchasing documents, processing human resources documents, data input, assisting the courier when needed, working on confidential law enforcement and personnel matters and other administrative assistant duties as required;
  • Attending meetings and processing minutes and notes for the Program Services Department;
  • Assisting with office coverage for the Superintendent’s Executive Assistant when unavailable;
  • Facilitating the daily operations meetings when the Superintendent’s Executive Assistant is not available;
  • Performing and/or assisting in other duties as required by the Assistant Deputy Superintendent II or designees.
Working Conditions:
Working in a correctional facility; working on weekends, nights, holidays and subject to being forced to work over eight (8) hours depending on operational needs. May encounter verbal and physical abuse from offenders; may be required to interact with people who are under physical and/or emotional stress; stand and walk for prolonged periods of time; work alone in an isolated area; lift and carry heavy objects; restrain inmates/detainees in accordance with policy. May also work under exposure to adverse weather conditions.

The individual selected for the position of Administrative Assistant shall be cognizant of the confidential and sensitive nature of working in a law enforcement agency and must comply with all institutional rules regarding safety and security.

Qualifications:
  • Relevant Bachelor’s degree, or equivalent combination of education and administrative experience;
  • Strong inter-personal, organizational, written and verbal communication skills;
  • Extensive knowledge and experience working with Microsoft Word and Excel;
  • Ideal characteristics include: excellent judgment; ability to communicate with people at all levels of the organization; customer service oriented and; ability to work independently in a fast-paced environment and pay close attention to detail.
  • Must maintain the yearly training standard as required by the MSO and have the ability to attend additional training as required by the MSO.
In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire. Must have an active valid driver’s license, the right to legally operate a motor vehicle in Massachusetts, an acceptable driving record and ability to pass a criminal background check.
