Position Summary

The Assistant Project Manager assists the Project Managers and the Operations Manager with the project management lifecycle on assigned and awarded accounts, including new lead generation, project proposal development, project cost estimation, project initiation, project oversight, and client relationship management. The Assistant Project Manager is held accountable for achieving specific metrics the Division Manager determines.

Essential functions of the job include but are not limited to:

  • Support Project Managers and Operations Manager through all phases of the project lifecycle, from lead generation to project close-out.
  • Assist in generating new business opportunities from existing, past, and prospective clients.
  • Participate in client meetings to gather project requirements and assess scope.
  • Develop preliminary cost estimates based on site visits, documentation, and public records.
  • Assist with proposal preparation, pricing, and submission in coordination with the Division Lead.
  • Help manage contract administration, including initiating contracts and tracking task orders.
  • Coordinate with field supervisors to ensure timely and successful project execution.
  • Plan project kickoff activities, including scheduling staff, ordering materials, and developing project timelines.
  • Coordinate with subcontractors and vendors to ensure timely delivery of goods and services.
  • Ensure compliance with safety regulations and internal safety standards at project sites.
  • Support issue resolution during the project lifecycle and communicate updates to clients.
  • Monitor project budgets, timelines, and performance metrics to ensure alignment with goals.

Qualifications

Minimum Required:

  • High school diploma or GED.
  • At least 2 years of experience in project coordination, construction administration, or a related field.
  • Basic understanding of construction project workflows and terminology.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and communication skills.
  • Ability to prioritize tasks and manage multiple projects simultaneously.

Preferred (but not required):

  • Experience in commercial construction project management or support roles.
  • Familiarity with project management software (e.g., Procore, Xactimate, and MS Project).
  • Knowledge of local building codes and OSHA safety regulations.
  • Experience coordinating subcontractors and vendor relationships.
  • Proven track record of successful project assistance from pre-construction to closeout.
