Go to CAPPS Recruit to Sign In GENERAL DESCRIPTION: Perform moderately complex (journey-level) Trooper Trainee Academy program assistance work. Work involves ensuring complete, accurate and timely documentation related to recruiting efforts and compliance with state regulations, providing support to Recruiting Unit offices with processing and testing; responding to inquiries from potential Academy trainees, the general public, program staff, community organizations, and other government/law enforcement agencies. May provide guidance to others. Works under general supervision, with limited latitude for the use of initiative and independent judgment. The following Military Occupational Specialty codes are generally applicable to this position. Applicants must fully complete the summary of experience to determine if minimum qualifications are met.

ESSENTIAL DUTIES / RESPONSIBILITIES:

  1. Enter, update, and retrieve information from various automated systems, e.g. CAPPS Applicant Tracking System and Polygraph VATS.
  2. Review, maintain, and distribute appropriate applicable files and records for applicants.
  3. Administer and score Trooper Trainee Reading and Math Skills Tests; proctor in person and on-line psychological tests; and conduct basic vision checks using 5000P Vision Screener Instrument or similar.
  4. Schedule and coordinate applicants with medical and psychological providers as applicable for trooper trainee applicants.
  5. Prepare, process, and coordinate a wide variety of forms, documents and folders, ensuring accuracy, completeness, and timeliness.
  6. Compile and analyze data from Trooper Trainee surveys and questionnaires.
  7. Prepare and revise Trooper Trainee Academy announcements/postings and the related Trainee description.
  8. Processes personnel actions and reviews completed personnel actions to ensure conformity with agency, state, and federal regulations for Trooper Trainee applicants.
  9. Process and/or respond to requests for information from various government agencies.
  10. Provide advice and counsel to applicants and department employees on issues, rules, and policies related to Trooper Trainee Academy applicants. Includes responding to the Recruiting 1-800 and main telephone number provided to applicants regarding questions on filling out required forms and criminal history, driving history, drug usage disqualifiers, waiting periods, and transfer of law enforcement federal, out-of-state, military police license to TCOLE. Provide guidance to recruiters on official documents, educational transcripts, and court documents accepted by TCOLE on prior arrest records. Calculate and verify qualifying combination of college, military and law enforcement experience. Obtain answers from chain of command related to unusual circumstances on potential disqualification or qualifying documents.
  11. Assist in screening applications; evaluating their qualifications; and referring qualified applicants to the appropriate region and recruiter.
  12. Assist with investigating and resolving Trooper Trainee application-related issues along with developing human resources policies and procedures for processing applications.
  13. Audit Trooper Trainee applicant files in regional locations, conduct related training to ensure accurate and complete files.
  14. Attend work regularly and observe approved work hours in accordance with agency leave and attendance policies.
  15. Perform other duties as assigned.
Qualifications: GENERAL QUALIFICATIONS and REQUIREMENTS: Education - High School Diploma or equivalent is required; Associate's degree with Major or coursework emphasis in Office Administration & Technology, Organizational Development, Public Administration or a related field is preferred. Experience - Minimum two (2) years performing progressively complex office management support to include maintaining records and auditing files. Experience with proctoring tests and scheduling interviews preferred. Substitution Note: Additional work experience of the type described or other related education may be substituted for one another on a year-for-year basis. Licensure and/or Certification - If driving is required, must possess a valid driver license from state of residence. Regulatory Knowledge - Working knowledge of, or the ability to rapidly assimilate information related to TXDPS, State and Federal regulations, legislation, guidelines, policies and procedures. Technology - Proficiency with Microsoft Office and appropriate levels of proficiency with utilized software and systems (e.g. CAPPS, SharePoint) and be able to learn new software/systems. Interpersonal Skills - Must demonstrate an ability to exercise poise, tact, diplomacy and an ability to establish and maintain positive, working/professional relationships with internal/external customers. Analytical Reasoning/Attention to Detail - Must demonstrate an ability to examine data/information, discern variations/similarities, and be able identify trends, relationships and causal factors, as well as grasp issues, draw accurate conclusions, and solve problems. Accuracy is of utmost importance in this role. Confidentiality and Protected Information - Must demonstrate an ability to responsibly handle sensitive and confidential information and situations and adhere to applicable laws/statutes/policies related to access, maintenance and dissemination of information. Safety - Must be able to work in safe manner at all times, avoiding shortcuts that have potential adverse results/risks, and must be able to comply with safety standards and best practices. Schedule and/or Remote/Telecommuting Work and/or Travel - Availability for after-hour work is required. Telecommuting up to 1 day per week. Travel (statewide) up to 2 days per month. State of Texas Benefits and Retirement Information: A DPS employee who is selected for a position in the same salary group and state title as their current position will be transferred with no salary change. A DPS employee who is selected for a position in their current salary group with a new state title may receive an increase of no more than 3.4% over their current salary regardless of posted salary.
