About Us

Deck Impact is a trusted construction company based in Montgomery County, Maryland. We specialize in designing and building high-quality decks and outdoor living spaces. We are looking for a bilingual Administrative & Personal Assistant to help run the day-to-day operations of our business— remotely , using their own computer and workspace.

 

This position is ideal for someone who is dependable, proactive, and confident in handling a wide range of responsibilities. You’ll work directly with ownership and be a critical part of keeping the company organized, responsive, and growing.

Responsibilities

  • Answer customer and vendor phone calls, emails, and inquiries in both English and Spanish

  • Schedule appointments, site visits, client estimates, and inspections

  • Maintain and organize digital records and documents

  • Enter project information and notes into our CRM system

  • Prepare and send quotes, invoices, change orders, and job folders

  • Follow up regularly with past and potential clients to generate new jobs and close open estimates

  • Collaborate daily with the co-owner to schedule active jobs and subcontractor timelines

  • Track permits, inspection deadlines, and subcontractor documents

  • Communicate professionally with clients about timelines, delays, and updates

  • Help resolve scheduling conflicts or logistical issues with field teams

  • Monitor and order remote office supplies and manage digital subscriptions

  • Provide calendar support and virtual personal assistance to the company founder

  • Support light marketing and reputation management tasks (e.g., requesting Google reviews, managing job photo files, social post drafts, work with the marketing team)

 

 

Requirements

  • Fluent in both English and Spanish

  • Located in Montgomery County, Maryland 

  • 3+ years of experience in an administrative, coordinator, or assistant role (construction or field-service experience is a plus)

  • Excellent communication and follow-up skills

  • Strong organizational and time-management abilities

  • Proficiency in Google Workspace, Microsoft Office, Zoom, and CRM platforms

  • Must have your own computer, high-speed internet , and a distraction-free work environment

  • Comfortable working independently, making decisions, and communicating with leadership throughout the day

 

 

Bonus Skills (Not Required)

 

  • Experience coordinating field teams or construction schedules

  • Familiarity with local permit processes in Montgomery County

  • Prior experience with lead follow-up, client conversion, or upselling
