Job Title: Meeting & Event Planner

Location: Hybrid – Eastern Time Zone (hours vary based on event needs)

Pay Rate: $39.38/hour

Duration: 12 Months

Schedule: 8:30 AM – 5:00 PM Eastern (occasional evenings or weekends based on event requirements)

About the Role

We are seeking an experienced and detail-oriented Meeting & Event Planner to support the Company Meeting Planning department. This role will primarily focus on internal meetings and events for the Company and its affiliates. The position requires a highly organized professional who can manage multiple priorities, build strong vendor relationships, and ensure flawless event execution.

Key Responsibilities

  • Plan and execute internal meetings and events in collaboration with the Meeting Planning department.
  • Coordinate workload assignments and project timelines with the Associate Manager, Meeting Planning.
  • Request and track Non-Disclosure Agreements (NDAs) and Certificates of Insurance (COIs) from vendors such as ground transportation, DMCs, venues, and activity providers.
  • Build and maintain relationships with best-in-class suppliers including restaurants, hotels, DMCs, venues, speakers, entertainment providers, and transportation companies.
  • Collaborate with internal clients to determine event needs, ensuring adherence to financial discipline, budget compliance, and contractual approval processes.
  • Utilize company-approved meeting, budgeting, and sourcing software to manage all planning tasks.
  • Maintain comprehensive event files, including estimated and reconciled budgets, receipts, Banquet Event Orders (BEOs), and all supporting documentation.
  • Develop detailed event materials including BEOs, agendas, rooming lists, and transportation manifests.
  • Provide administrative support for name badges, meeting websites, signage, and event collateral.
  • Deliver on-site event execution and coordination as needed.
  • Ensure all services are performed in accordance with company policies and standards.
  • Submit timesheets and expense reports promptly and accurately.

Qualifications

  • Minimum of 5 years of experience in corporate meeting or event planning .
  • Diploma or degree in a related field.
  • Proficient in Cvent and the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong vendor negotiation and relationship management skills.
  • Excellent organizational , communication , and budget management abilities.
  • Ability to work flexible hours, including evenings and weekends, as required.
  • Certified Meeting Professional (CMP) designation preferred.
